Reminders for Employing Newly Graduated Students

Please refer to the following guidance pertaining to employing students who have newly graduated from the University:

  • Newly Graduated Students: Graduated students cannot hold student positions. If you would like to employ a newly graduated student, the student must be moved into a non-student position (temporary, staff, etc.). A background check is waived for any student who graduated in the Spring 2025 Quarter who will continue in a non-student position for the Summer 2025 Quarter. If a student continues to provide services beyond Friday, September 26, a background check will be required then.

  • Fringe Rates: If a student is not registered for courses, your department may be subject to fringe rates for summer 2025. A student may be subject to OASDI and Medicare (FICA taxes) withholding if not registered half-time or more.

  • Working 20 Hours Per Week:
    • Registered Students: If a student has registered for classes during summer 2025, the student is subject to the 20 hours per week maximum work policy.
    • Unregistered Students: Students can work more than 20 hours per week if they are not registered for classes in the summer. Students who elect to work at the University during the summer without registering for classes can have a student position for up to 40 hours per week. This summer position must have an end date of Friday, September 26, and the student must have been enrolled in the Spring Quarter or on a leave of absence (LOA) in the Spring Quarter (and the LOA has ended) to hold a student position.

  • Autumn 2025 Incoming Students: Incoming students (including foreign nationals) who begin a position with the University prior to the start of the Autumn Quarter must show autumn 2025 matriculation and have permission from their dean of students to be placed in a student position. If either condition is not met, the student must be placed into a non-student role until the registration quarter begins and registration in AIS appropriately reflects enrollment as a student. Individuals placed into temporary positions may be required to complete a background check.

  • Students Who Graduate in Summer Quarter 2025: Students who graduate in the Summer 2025 Quarter cannot work in a student position beyond Saturday, August 23. PhD students who graduate in the Summer 2025 Quarter and are receiving primary funding will receive the full August monthly payment. No September payment will be issued.
